Case Study SecureDocs upgrade

The Client

Details supplied on request, employs 140 members of staff, 60 remotely. Based in Cardiff it is independent of the National Assembly for Wales but is funded by it.

The Challenge

The project needed to be planned, implemented and tested in such a way that normal weekday working was not affected. Westgate therefore based its solution around these constraints.

Business Solution

The Westgate IT solution had the following main elements:
• Creating a Server Image
• Migrating data
• Taking a snapshot of the new SecureDocs server
• Checking that the Test PCs were reporting to the new SecureDocs server
• Upgrading the current Secure Docs 4.31 software, to Version 4.8 on the new Windows 2003 server
• Documenting the new system.

The project included tasks to create a new image and moving all the data off the old SecureDocs server and onto a Windows 2003 Server image. The SecureDocs system was  running on a Windows XP machine and although the SecureDocs database on this workstation was being backed up, the whole system was not, creating risk and a single point of failure.
Westgate were fully aware that the client was reliant on SecureDocs and therefore needed to ensure its stability. SecureDocs was going to be installed on Microsoft Server version 2003, as it was not supported on Windows Server 2008.

Outcome

Westgate completed the project within the time specified, meeting all the operational requirements set by the client, and within the agreed project budget.
